Twin Cities Metabolism (“we,” “us,” or “our”) operates the website tcmetabolism.com and provides functional medicine evaluation and clinical services. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website or services you agree to the terms below.

1. Information we collect

Information you provide. When you book a consultation, complete an intake form, sign up for an assessment or the Reset program, or contact us, we collect the information you provide — including your name, email, phone, address, date of birth, health history, lab results, and other information relevant to your clinical care.

Information collected automatically. When you visit our website, we automatically collect standard log information (browser type, device, IP address, pages visited, referring URL, timestamps). We use standard analytics tools to understand how visitors use the site.

Cookies and tracking technologies. Our website uses cookies and similar technologies to remember preferences, measure traffic, and improve performance. You can configure your browser to refuse cookies, though some site functions may not work.

Controlling cookies and analytics. Most web browsers let you block or delete cookies through their settings. You can also opt out of Google Analytics across websites by installing the Google Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout. Blocking cookies may affect how some parts of our site work.

2. How we use information

We use the information we collect to: deliver clinical services and patient care; schedule appointments and process payments; respond to inquiries and provide customer support; send service-related communications (appointment reminders, lab results notifications, treatment plan updates); improve our website and services; and comply with legal obligations.

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

3. Health information and HIPAA

Twin Cities Metabolism handles protected health information (PHI) in accordance with applicable federal and state law, including, where applicable, the Health Insurance Portability and Accountability Act (HIPAA). We use HIPAA-compliant systems for clinical scheduling, secure messaging, electronic health records, and lab result handling. Detailed information about our health information practices is available in our Notice of Privacy Practices, which is provided at intake.

4. Sharing your information

We share information only as needed to deliver services and meet legal obligations: with clinical laboratories that process your tests; with payment processors to handle transactions; with HIPAA-compliant service providers (electronic health records, scheduling, secure messaging); with healthcare providers to whom you have authorized release of records; and when required by law or to protect rights, property, or safety.

Service providers we work with. To operate our clinic and website, we share limited information with trusted service providers who are contractually bound to protect it and to use it only to provide services to us. These include our scheduling and booking platform (Jane), our payment processor, our website analytics providers (Google Analytics and Microsoft Clarity), and the independent laboratories that process your samples and return your results (which may include Vibrant, Diagnostic Solutions Laboratory, Precision Analytical/DUTCH, and Genova Diagnostics). We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.

Website chat assistant. Our site includes an automated chat assistant (“Ask TCM”) that answers questions about our services and scheduling. Messages you type into the chat are processed by an automated AI service to generate responses. Please don’t submit personal health information through the chat — it’s for general service and scheduling questions. For anything clinical, book an appointment.

Email delivery. We use Kit (formerly ConvertKit) to send the email guides and updates you request; your name and email address are stored with Kit for that purpose. You can unsubscribe anytime via the link in any email.

5. Data security

We use industry-standard physical, technical, and administrative safeguards to protect the information we collect. However, no transmission or storage system is perfectly secure. If we learn of a security breach, we will notify affected individuals as required by law.

How long we keep your information. We keep your personal and health information for as long as needed to provide your care and to operate our clinic, and afterward for as long as required by applicable law, including Minnesota medical-record retention requirements and any applicable federal rules. When information is no longer needed for these purposes, we take reasonable steps to securely delete or de-identify it.

6. Your choices and rights

Marketing communications. You can unsubscribe from marketing emails at any time using the unsubscribe link or by contacting us. Service-related communications (appointment confirmations, lab results, treatment plan messages) will continue.

Access and corrections. You may request access to your personal information or ask us to correct inaccuracies by contacting info@tcmetabolism.com.

Health records. Access to your health records is governed by HIPAA and Minnesota law. Contact us to request a copy of your health records.

Your privacy rights. Most of the health information we hold about you is protected by HIPAA and Minnesota medical-records law, and your rights to access, amend, and request a copy of those records are described in our Notice of Privacy Practices, which you receive at intake. For information that is not covered by HIPAA, Minnesota residents may contact us at info@tcmetabolism.com to ask about the personal information we hold and to request access or corrections.

7. Children

Our website is not directed at children under 13. We do not knowingly collect personal information from children under 13 without parental consent.

8. Third-party links

Our website may link to third-party sites (e.g., our scheduling system, lab partner portals, social media). We are not responsible for the privacy practices of those sites; review their policies independently.

9. Changes to this policy

We may update this Privacy Policy from time to time. If we make a material change, we will post the updated policy here and update the “Last updated” date at the top of this page, and where appropriate we will provide additional notice (for example, a notice on our website or by email). We encourage you to review this policy periodically. The “Last updated” date reflects the most recent revision.
